Administrative Assistant

About You

  • 2-5 years of experience in an office environment required
  • Strong knowledge of MS Office
  • Excellent written and spoken English
  • Proficient in maintaining databases and excel spreadsheets
  • Exceedingly well organized, flexible and enjoy the administrative challenges
  • Have the ability to interact with all staff in a fast-paced environment, sometimes under pressure, remaining flexible, proactive and efficient, with a high level of professionalism
  • Must prioritize and manage multiple projects simultaneously

About Your Role

Primary Bookkeeping:

  • Use bookkeeping software and enter information into company files or databases, ensuring that all financial records are complete and accurate
  • Work with other members of the accounting department to compile, analyze, and report financial data
  • Process invoices, ensuring that company bills are paid and debts are collected
  • Oversee accounts payable and receivable; assist in the preparation of annual budgets and monitor the cost of operations

Human Resources:

  • Post job vacancies on the best performing recruitment channels
  • Contact and select candidates for interviews
  • Report the progress on assigned job vacancies on a regular basis
  • Generate paperwork for new hires and current employees: labor agreements, employment certificates, personal documents
  • Maintain and archive employee data

Office Management:

  • Manage incoming and outgoing phone and email communications
  • Create and handle presentations, reports, confidential correspondence and files
  • Coordinate meetings and travel arrangements and maintain departments calendar
  • Manage the company’s relationship with suppliers
  • Assure logistic support for company employees
